Site Safety Induction

This induction will only take a few minutes of your time, so please read it all the way through.

Section 1 : Event Information

Access to the site:

COMPLETED THIS INDUCTION

  • Completion of this induction is mandatory for all event staff requiring access to the event during the build or de-rig.
  • You must read through this induction, fill out and submit the form at the end.

PERSONAL PROTECTIVE EQUIPMENT (PPE)

  • You must wear PPE appropriate to your schedule of work. If in doubt please speak to one of the key contacts for the event before commencing work.
  • Minimum PPE required:
    • Hi-Viz
    • Hard Hat (Working at Height)
    • Steel Toe capped footwear

APPROPRIATE ACCREDITATION

  • When you arrive on-site, you will be provided with your accreditation.
  • It is vital to the safety and security of the event that you wear and visibly display your accreditation AT ALL TIMES.
  • Security staff have been instructed not to let any person into a restricted area without accreditation.
  • Please ensure that you do not allow any person into a restricted area without the correct accreditation.
  • You must not lend your accreditation to anyone, under any circumstances.
  • NOTE: If you have not completed and submitted this online safety induction you WILL NOT be issued with accreditation.

On Arrival:

  • Upon arrival, meet outside the venue and contact your production lead/HoD to provide accreditation and site familiarisation of the venue.
  • All contractors are to check in with Heads of Departments (HoDs) at site entrances before commencing work.
  • Ensure you have your ID and email confirmation for this induction (you will receive this after completion).

Section 3

Build and Break Safety

Site Rules

EVERYONE MUST:

  • Consider the safety of yourself and those around you at all times; How does what I’m doing affect others?
  • Be aware of moving vehicles and plant; Wear your hi-viz jacket and be aware of others working near you.
  • Use appropriate PPE and follow instructions;
  • Vehicle and plant drivers/operators must hold a relevant licence or permit for the vehicle/plant; Do not speed, be aware of pedestrians and be prepared to STOP.
  • All work at height must be planned, risk assessed, and a suitable rescue plan must be in place.
  • Hard hats must be worn where work at height is taking place, or installations above head height have not been completed and signed off.
  • Minimum PPE Required on Site:
    • Hi-Viz clothing (EN471)
    • Steel Toe Capped Boots (EN20345)
    • Hard Hat (EN397) – Work at Height
  • You must also wear any additional PPE that is required as part of your company’s Risk Assessments.
  • No hot works to be carried out without a permit to work being issued by the venue. Contact the Production Manager if you need to carry out any hot works on site.

Plant and Vehicles

Plant users:

  • The site speed limit across the site is 10km/h
  • If you intend to use plant or MEWPS, please make sure you have a copy of your current licence. You will need to show your plant licence before being authorised to operate plant on site.
  • Where plant has been hired in only authorised drivers with adequate training and licenses may use them.
  • All hired in plant by Contractors should have the necessary documentation provided, and checked before use with log record taking and stored in Event Safety File.

Manual Handling

Don’t lift unless it’s essential;

  • No event personnel should undertake any manual handling that is beyond their physical means.
  • Good manual handling techniques are to be used at all times.
  • Wherever possible mechanical lifting aids are used to reduce manual handling requirements.
  • Team lifting is used where practicable, especially when moving large and bulky items.
  • Staff and contractors working at height should only handle equipment attached securely to their person.
  • All materials are checked before lifting for sharp edges or any other potential for the harm they present.
  • All appropriate PPE is worn where required.
  • All routes are to be pre-checked before the lift is made to ensure they are clear from obstruction or hazard.
  • Event personnel to ensure good communication before and during lift and be careful with footing when working at height.
  • Where any repetitive manual handling is required, workers are encouraged to take regular breaks.
  • Ensure adequate supervision is provided and control measures remain valid during the task.
  • Further training and verbal instruction were given to the crew where appropriate.
  • Staff and contractors are to inform their PM or HoDs if they have a history of back problems.
  • All workers from 16 to 18 years of age or over 55 are given special consideration for all manual handling operations.

Electrical Safety

Electrical equipment;

  • Only use power supplies installed or approved by the site power team.
  • Visually check electrical equipment, including cables and plugs for signs of damage or excessive wear before each use.
  • Be considerate when running temporary cables – do not create a hazard.
  • Power tools should be battery-powered where possible.
  • All electrical equipment should be regularly inspected for serviceability.

Working at Height

If you are intending to work at height;

  • A risk assessment must be in place and the working at height hierarchy must be followed at all times avoiding any work at height wherever possible.
  • When it is necessary to work at height precautions must be taken to prevent any falls from height.
  • Effective communication channels in place and used at all times.
  • Appropriate work at height equipment to be used that is fit for purpose and inspected before use with any default equipment repaired or replaced.
  • PPE to be site and task specific according to site rules and contractor safe systems of work.
  • A means of segregation used to ensure that no other persons can access the areas where work at height is taking place beside the appointed contractors.
  • Ground surfaces and travel routes will be inspected and monitored.
  • All work at height will be monitored by the management and supervisors with training offered where possible.

No lone working permitted involving any working at height.

Mobile Elevated Work Platforms (MEWPs)

If you are intending to use a MEWP;

  • Only Staff and contractors who have attended and hold a valid certificate for a recognised training programme relevant to the particular type of MEWP will operate the machine on site.
  • An equipment check shall be carried out prior to use, the manufacturers certificate of conformity shall be read and made note of, in order to establish capacity and capability of the particular MEWP (bearing in mind different machine’s may have different capabilities).
  • Prior to operating the MEWP, the operator shall establish a safe clear route, solid ground, free of obstacles and obvious risks.
  • A “spotter” or banks-man shall ensure that the access route is clear of other persons and use of an area restriction method should be used.
  • All persons who will be working within the restricted area shall wear correct PPE.
  • An additional crew member shall position themselves at the base of the MEWP to alert other persons of the work at height activity taking place.
  • Area that is to be worked in shall be free of obstructions and adverse weather monitoring in place. Access guard door shall be closed shut prior to ascent.
  • Operator shall not climb on guard rails while MEWP is in operation.
  • Staff and contractors shall be fully trained in fall arrest and a recovery plan shall be created prior to work at height in a MEWP be undertaken.
  • Prior arrangements including the use of a fall arrest recovery plan shall have been conducted prior to crew using a harness.
  • All work equipment used whilst working at height on a MEWP shall be stored in tool-belts, with a lanyard or suitable pockets.
  • Work equipment placed on the floor of the MEWP shall only be for short durations.
  • Loose clothing, personal items such as coins shall be removed prior to access to the MEWP.
  • When warning devices sound, operator will observe warning instructions and cease work activity until problem is rectified.

Mobile Access Tower

If you are intending to use a mobile access tower;

  • Only a trained and competent person should assemble access towers.
  • All access tower must be assembled to manufacturer’s instruction / guidance with safety rails and toe boards at all times. Outriggers should be used when required under the Manufacturer’s instructions / guidance.
  • When a venue specifies working practice for access towers, we will inform all HOD’s to make sure safe systems of work are established according to best work practices, based on regulations and manufacture instructions / guidance.
  • Ladders should always be suitable for the task, checked before use and used according to safe systems of work.If you are supplying your own company tower please be aware that if used by another party you have a responsibility to ensure it is used safely and in the correct manner. If an accident occurs you can be held partially responsible, even if you have given permission for it to be used.
  • If a tower is to be left overnight please make sure it is secured in place with no tools or equipment left on the access tower, signage should be attached to notify no one should use the equipment without permission from access tower owner.

Using Ladders and Step Ladders

Please ensure that:

  • Ladders shall be inspected by a competent person prior to use, particular attention shall be drawn to stabiliser bar rubber feet, metal locking bar, safety catches, webbing strap and indentations/damage to rungs.
  • If staff or contractors ascertain that a ladder is not in suitable condition or fit for purpose, they shall not use it and shall remove it from circulation.
  • Ladders shall be positioned on a flat hard piece of ground.
  • Ladders shall be secured into a locked position prior to use and extended fully in the horizontal position with the metal locking bar locked, the webbing strapping extended and in good condition and the safety catch applied to each section after extending.

Tools

When using tools:

  • All hand-held tools should be transported in a secure toolbox or storage container.
  • All tools will be cleaned on a regular basis and maintained in good working condition.
  • All staff and contractors will conduct a visual inspection of the tools to ensure they are safe prior to use.
  • Upon completion of using hand-held tools, staff and contractors will place the tools back in their containers in a safe location.
  • All staff and contractors using tools will be trained, competent and familiar with the tools they are using.
  • Task-specific PPE will be worn at all times.
  • Battery-operated power tools will be used where possible as a matter of priority.
  • 110v tools used where possible.
  • Power tools must be PAT tested.
  • Supervision and training are to be available on-site as far as reasonably practicable.

On Site

Please

  • Ensure that all access and egress routes are free from obstruction and trip hazards at all times;
  • Do not block fire exit doors at anytime;
  • Report any hazards you find immediately, do not leave it for someone else to discover…. the hard way.

PPE required on site

HI VIZ

  • During build and break on the beach, a Hi-Viz vest is to be worn at all times.
  • A Hi-Viz should be worn when working in the road to marshall or unload vehicles.
  • Compliant with EN ISO 20471 i.e Orange or Yellow – Black and dark colours are not acceptable.

SUITABLE FOOTWEAR

  • Suitable safety footwear i.e boots should be worn. No open-toed footwear.
  • Compliant with EN ISO 20345 minimum

HARD HAT

  • A hard hat must be worn in areas where overhead work is being carried out.
  • Compliant with BS 397

WORK AT HEIGHT

  • If you are intending to work at height please make sure you wear a full-body harness with either a fall arrest or work restraint lanyard.
    • Prevent a fall in the first instance using a work restraint lanyards.
    • Restrain the fall by using a fall arrest system, if not using a work restraint lanyard.
  • Make sure all work at height is risk assessed and you have had suitable training and a suitable rescue at height plan in place.

PROTECTION

  • Gloves, hearing protection, safety glasses, and dust masks should be worn if your work and risk assessment requires them.

Welfare facilities on site

TOILETS

  • Toilets are available on-site in designated areas, these will be shown to you when you arrive on site.
  • Please treat these with respect and leave them as you find them.

HYDRATION

  • Drinking water is available at the Hotel.
  • Please remember to sanitise your hands before eating and drinking.
  • Please make sure you bring a reusable water container to use on-site.
  • Tea and coffee will also be available.

CATERING

  • Catering will be avilable for those that have prearranged onsite meals.
  • Local shops are close by for food and drinks.
  • Tea, coffee, soft drinks will be availablewhilst on site.
  • N.B. please bring your own reusable water bottle with you if you can.

SUN PROTECTION

  • Please stay hydrated; it will be hot when working outside.
  • Sun cream will be available if you do not have your own. Please use sun protection.
  • Bring a hat that will keep your head and face shaded from the sun.
  • It would be advisable to bring a pair of UV-protective sunglasses to wear when working outside during the day.
  • Please plan your activities to ensure you have suitable time out of the sun.
  • Make yourself familiar with the signs and symptoms of heat exhaustion and sunstroke, and monitor yourself and your colleagues.

First Aid

CONTRACTOR FIRST AIDER

  • Each contractor SHOULD have a designated first aider on-site and carry a suitable first aid kit.
  • The production management team will support first aid requirements.

ACCIDENT REPORTING

  • All accidents, incidents and near-misses must be reported as soon as possible to Jack Morton Production Management.

If You Discover a Fire:

RAISE THE ALARM

  • If you discover a fire.
  • KEEP CALM and RAISE THE ALARM 
  • FIRST THING
  • Shout “FIRE FIRE FIRE” and activate any fire alarms in the venue
  • SECONDLY
  • Alert a member of security or management.

FIREFIGHTING EQUIPMENT (FFE)

  • If possible, and you have been trained to do so, attempt to fight the fire using suitable firefighting equipment ensuring you do not put your own life at risk.
  • Fire Extinguishers are located around the venue.

EVACUATE THE AREA

  • Upon leaving the area, you must all gather at an assembly point as shown on the map
    below.
  • Once there, make sure you check in with your Managers and let Production Management know if anyone is missing.
  • In an Emergency, keep mobile use to a minimum and follow directions from security and
    Management.
    Remember
    • ALWAYS use the nearest available exit.
    • DO NOT use firefighting equipment unless trained in the use of the equipment.
    • DO NOT stop to collect personal belongings – Do not allow others to do the same.
    • DO NOT return to the site until instructed to do so by a member of the Production Management Team.

Section 8

Alcohol and Drugs at Work

ZERO Tolerance

Whilst on-site there is a ZERO tolerance for being under the influence of alcohol or illegal drugs.

If you are suspected of being under the influence of either you will be removed from the site immediately and may face disciplinary action.

Be alert

SUSPECT ITEMS

  • If you discover a suspect package do not touch or move it.
  • Immediately contact a member of the Security Team or Production Management Team.
  • Do not use your mobile phone or radio in the vicinity of the package.
  • Follow the directions of the Security Team and Staff to clear the area calmly if possible and follow the evacuation process used if the threat is confirmed.

SUSPICIOUS PEOPLE / ACTIVITY

  • If you see anyone acting suspiciously in or around the area please contact the Security Team or Production Management Team.
  • Give them an accurate description of the person/s and what makes them look suspicious to you.
  • You will not be criticised for reporting anything suspicious – if in doubt please report it.

TERRORIST INCIDENT

  • In the event of an attack, it may be necessary to evacuate the area, however, in some circumstances, it may be safer to remain inside. If an incident occurs, think about your personal safety and follow Run, Hide, Tell:
    • Hide if you can’t run.
    • Find some cover.
    • Be aware of your escape routes and try not to become trapped.
    • If you can lock or barricade yourself in a room and move away from the door.
    • Be very quiet and turn off mobile phones and other devices that could make unexpected noise.
  • CALL 112 when it is safe to do so.
  • If the Police respond to the venue in these circumstances please be prepared for their actions to be robust, this could include you being treated as suspicious until you are cleared.
  • Always apply the RUN, HIDE, and TELL guidance.

Health Surveillance

The health, safety and welfare of everyone we work with remain the top priority for Door Dash and Jack Morton.

  • Event team provided with information on the event before arriving onsite and briefed before starting work.
  • Daily health surveillance checks, and only work if the person feels like they are physically and mentally fit and healthy to work.
  • All personnel working on the event if feeling unwell should not come into work and contact management immediately.
  • Unwell personnel to seek medical support if required, and in an emergency please contact 112 immediately and/or management.
  • Everyone is briefed before starting work.
