Access to the site is only permitted if you have:

COMPLETE THIS INDUCTION

  • Completion of this induction is mandatory for all event personnel requiring access to the event during the build or de-rig.
  • You must read through this induction, fill out and submit the form at the end.

PERSONAL PROTECTIVE EQUIPMENT (PPE)

  • You must wear PPE appropriate to your work schedule, and in any case, you must have a minimum of hi-viz and suitable footwear in the production area. If in doubt, please speak to one of the key contacts for the event before commencing work.
  • Minimum PPE required in construction areas:
    • Hi-Viz
    • Hard Hat (when overhead work is being carried out)
    • Safety Footwear (with toe protection EN 20345)

APPROPRIATE ACCREDITATION

  • When you arrive on-site you will be provided with your accreditation before you start work and with proof of completing this online induction.
  • It is important to the safety and security of the event that you wear, and visibly display your accreditation AT ALL TIMES.
  • Security staff have been instructed not to let any person into a restricted area without accreditation – There will be no exceptions!
  • Please ensure that you do not allow any person into a restricted area without the correct accreditation.
  • NOTE: If you have not completed and submitted this online safety induction you WILL NOT be issued with accreditation.

On Arrival:

  • On arrival at the venue, go to the Reception at the main entrance; this is our crew entrance and will be the only entrance we should use to access the venue.
  • You will need to sign in AND out each day.
  • Ensure you have your Photo ID and email confirmation for this induction (you will receive this after completion).
  • Follow the directions of staff to crew registration, where you will receive your accreditation.

Section 3

Build and Break Safety

Site Rules

EVERYONE MUST:

  • Consider the safety of yourself and those around you at all times.
  • Be aware of moving vehicles and plants; Wear your hi-viz jacket and be aware of others working near you.
  • Use appropriate PPE and follow instructions;
  • Vehicle and plant drivers/operators must hold a relevant licence or permit for the vehicle/plant; Do not speed, be aware of pedestrians and be prepared to STOP.
  • All work at height must be planned and risk assessed, and a suitable rescue plan must be in place.
  • Hard hats must be worn in halls where work at height is taking place or installations above head height have not been completed and signed off.
  • Minimum PPE Required on Site:
    • Hi-Viz clothing (EN471)
    • Steel Toe Capped Boots (EN20345)
    • Hard Hat (EN397) – when overhead work is being carried out.
  • You must also wear any additional PPE required as part of your company’s Risk Assessments.
  • No hot works are to be carried out without a permit to work being issued by the Health and Safety Team.
  • Smoking is only permitted in designated areas outside of the venue, this includes e-cigarettes.

General

GENERAL VENUE RULES:

  • All personnel receive a call sheet with site-specific information on processes and procedures, schedules, communication, welfare (including accommodation), and emergency and evacuation.
  • All personnel are inducted/briefed when first arriving onsite and given time to familiarize themselves before starting work in the venue and event area, emergency procedures, first aid arrangements, escape routes and the assembly points.
  • Personal protective equipment including safety footwear (manual handling), hi-visibility vest (road and around public), hard hat (work at height), and face coverings (health protection preference).
  • Safe systems of work followed at all times in line with risk assessments & method statement (RAMS) to make sure the right controls are followed and update and communicate RAMS where necessary to make sure best practices are followed at all times.
  • Operators of vehicles and/or equipment/tools should clean service before and after use and only use them if staff/contractors have relevant training/experience and/or licenses with sufficient evidence of competency.
  • All deliveries must enter the hotel via its loading bay which is located at the back of the hotel by the Meridian Gate. To enter the back of the hotel you must drive through The O2 arena’s security gate. Access will only be granted with a valid vehicle ticket with barcode. Tickets are issued by the Meetings & Events Planner prior to the event and can be presented on either a printed hard copy or on a smart phone or tablet.
  • Loading bay elevators manned at all times with the following dimensions: –
    • Width 2.50 meters
    • Height 2.10 meters
    • Length 6.30 meters
    • Weight 5000 kgs
  • All access and egress routes kept clear at all times.
  • The consumption of alcohol when working and/or the possession and use of illegal substances (including certain prescription medication) is strictly prohibited. Anybody suspected to be under the influence of alcohol or illegal substances will be requested to leave the site.
  • No employee or contractor is to interfere, damage or remove any safety sign or item provided in the interest of safety.
  • Personal devices, tools and equipment should not be shared, and all devices, tools and equipment should only be used if necessary, and stored away securely when not in use.
  • NO SMOKING while working or around the venue, except in designated smoking areas highlighted during the induction/briefing process.
  • All concerns, feeling unwell, accidents, incidents and near miss reported immediately to Management.
  • Regular break taking at scheduled intervals to make sure the well-being of all staff/contractors is a priority when onsite.
  • Bottled or personal water containers used with sealed/secured lids, and catering plan with suitable welfare for team whilst working onsite.
  • All work when completed is signed off before going live.
  • All waste disposed of correctly and removed from site, and all people onsite should take all their waste away with them at the end of each day.
  • Make sure all the equipment/materials/tools when not in use or de-rigged stored safely away before moved off site at the end of the project.

Plant and Vehicles

Plant users:

  • The site speed limit across the site is 5 mph.
  • If you intend to use plant or MEWPS, please make sure you have a copy of your current licence.
  • Venue plant is only to be used by the venue staff unless crew have the correct operators’ licenses and have been authorised by the Production Management and the venue.
  • Where plant has been hired in only authorised drivers with adequate training and licenses may use them.
  • All hired in plant by Contractors should have the necessary documentation provided, and checked before use with log record taking and stored in Event Safety File.

Manual Handling:

Don’t lift unless it’s essential;

  • Always use good manual handling techniques.
  • Use mechanical aids where possible, i.e. forklift truck.
  • Use equipment trolleys/buggies where possible.
  • Anything over 25kg will require at least two people to lift.
  • Remember to use good communication when team lifting.
  • Consider asking a colleague to walk ahead of you, opening doors and checking the route is safe.
  • If in doubt, do not lift. Seek support or advice.

Work at Height:

If you are intending to work at height;

  • A risk assessment must be in place and the working at height hierarchy must be followed at all times avoiding any work at height wherever possible.
  • When it is necessary to work at height precautions must be taken to prevent any falls from height.
  • Effective communication channels in place and used at all times.
  • Appropriate work at height equipment to be used that is fit for purpose and inspected before use with any default equipment repaired or replaced.
  • PPE to be site and task specific according to site rules and contractor safe systems of work.
  • A means of segregation used to ensure that no other persons can access the areas where work at height is taking place beside the appointed contractors.
  • Ground surfaces and travel routes will be inspected and monitored.
  • All work at height will be monitored by the management and supervisors with training offered where possible.

No lone working permitted involving any working at height.

Mobile Access Towers:

If you are intending to use a mobile access tower;

  • Only a trained and competent person should assemble access towers.
  • All access tower must be assembled to manufacturer’s instruction / guidance with safety rails and toe boards at all times. Outriggers should be used when required under the Manufacturer’s instructions / guidance.
  • When a venue specifies working practice for access towers, we will inform all HOD’s to make sure safe systems of work are established according to best work practices, based on regulations and manufacture instructions / guidance.
  • Ladders should always be suitable for the task, checked before use and used according to safe systems of work.If you are supplying your own company tower please be aware that if used by another party you have a responsibility to ensure it is used safely and in the correct manner. If an accident occurs you can be held partially responsible, even if you have given permission for it to be used.
  • If a tower is to be left overnight please make sure it is secured in place with no tools or equipment left on the access tower, signage should be attached to notify no one should use the equipment without permission from access tower owner.

No lone working permitted involving any working at height.

Electrical Safety:

Electrical equipment;

  • Only use power supplies installed or approved by the site power team.

  • Visually check electrical equipment, including cables and plugs for signs of damage or excessive wear before each use.
  • Be considerate when running temporary cables – do not create a hazard.

  • Power tools should be battery-powered where possible.

  • All electrical equipment should be regularly inspected for serviceability.

Around the site:

Please

  • Ensure that all access and egress routes are free from obstruction and trip hazards at all times.
  • Do not block fire exit doors at anytime.
  • Report any hazards you find immediately, do not leave it for someone else to discover…. the hard way.
  • Ensure all vehicle movements around the site are banksed by a competent person.

General behaviour:

Everyone should behave accordingly and observe the following:

  • Please refrain from shouting and swearing.
  • Please be courteous when dealing with members of the public, venue staff and your colleagues.
  • Please do not post images or information about the show on social media.
  • Smoking is only permitted in designated areas outside of the venue, this includes e-cigarettes.
  • Please remember if something does not look right, it most probably isn’t so report it immediately.
  • Do not use headphones and listen to music when working in the venue, make sure you can hear, what is happening around you.

PPE required on site

HI VIZ

  • During build and break, a Hi-Viz vest is to be worn at all times.
  • Compliant with EN ISO 20471

SUITABLE FOOTWEAR

  • Suitable footwear should be worn. No open-toed footwear.
  • In construction areas, safety footwear should be worn and where your company’s risk assessments mandate it. Compliant with EN ISO 20345 minimum

HARD HAT

  • A hard hat must be worn in areas where overhead work is being carried out.
  • Compliant with BS 397

WORK AT HEIGHT

  • If you are intending to work at height please make sure you wear a full-body harness with either a fall arrest or work restraint lanyard.
    • Prevent a fall in the first instance using a work restraint lanyard.
    • Restrain the fall if not using a fall arrest lanyard.
  • Make sure all work at height is risk assessed and you have had suitable training and a suitable rescue at height plan in place.
  • No lone working at anytime, when working at height!

PROTECTION

  • Additonal PPE should be worn where you task or work requires the use of it, or your company’s risk assessments require it.

Welfare facilities on site

TOILETS

  • Toilets are located around the venue.
  • Please treat these with respect and leave them as you find them.

HYDRATION

  • Drinking water will be provided along with facilities for hot and cold drinks.
  • Please make sure you bring a reusable water container to fill up and drink from the water stations around the site.
  • Hot drinks will also be available.

First Aid

CONTRACTOR FIRST AIDER

  • Each contractor SHOULD have a designated first aider on-site and carry a suitable first aid kit.

FIRST AID

  • Please let a member of JMW Management or Venue Security know if first aid is required and where.
  • Anyone with special requirements and medical conditions that need additional support to contact Management before arriving on-site.
  • The more warning the better to help offer the appropriate support where possible.

ACCIDENT REPORTING

  • All accidents, incidents and near-misses must be reported as soon as possible to the Health and Safety Team or Production Management.

If You Discover a Fire:

DISCOVERING A FIRE

In the event that you discover a fire onsite follow the below procedure:

  • Raise the Alarm – by activating the nearest emergency call point or making contact with the nearest security person or member of the Production Team.
  • Tackle Fire – Only tackle fire if you are trained to do so, competent, are not putting your life or the lives of others at risk and appropriate firefighting equipment is available.
  • Leave the premises – by the nearest available emergency exit.
  • DO NOT stop to collect personal belongings or valuables
  • Head to an assembly point – Head directly to the assembly point instructing any person you pass on the way to head to the nearest assembly point.
  • DO NOT Leave the assembly point – Once at the assembly point DO NOT leave it, DO NOT re-enter any building or structure and wait for further instruction from the Production Team or senior reporting Fire Officer.

It is important to stay calm and not to panic in the event of a fire and to ensure you leave site in an orderly manner.

FIREFIGHTING EQUIPMENT (FFE)

  • If possible, and you have been trained to do so, attempt to fight the fire using suitable firefighting equipment ensuring you do not put your own life at risk.

HEARING THE ALARM

In the event you hear the fire alarm, or you are instructed there is a fire at the venue follow the below procedure:

  • Leave the premises – by the nearest available emergency exit.
  • DO NOT stop to collect personal belongings or valuables.
  • Head to an assembly point – Head directly to the assembly point instructing any person you pass on the way to head to the nearest assembly point.
  • DO NOT Leave the assembly point – Once at the assembly point DO NOT leave it, DO NOT re-enter any building or structure and wait for further instruction from the Production Team or senior reporting Fire Officer.

It is important to stay calm and not to panic in the event of a fire and to ensure you leave site in an orderly manner.

EVACUATE THE AREA

  • If you are required to evacuate the area, you must all gather at the assembly point shown on the map
  • Once there, make sure you check in with your managers and let them know if
    anyone is missing.
  • In an Emergency, keep mobile use to a minimum and follow directions from Security and Venue Management Team.

Remember
• ALWAYS use the nearest available exit route.
• DO NOT use lifts.
• DO NOT use firefighting equipment unless trained in the use of the equipment.
• DO NOT stop to collect personal belongings – Do not allow others to do the same.
• DO NOT re-enter the venue until instructed to do so by a member of the security team.

The fire and evacuation assembly point is:

  • The Car Park opposite the hotels main entrance – see picture below.

Section 8

Alcohol and Drugs at Work

ZERO Tolerance

Whilst on-site there is a ZERO tolerance for being under the influence of alcohol or illegal drugs.

If you are suspected of being under the influence of either you will be removed from the site immediately and may face disciplinary action.

Be alert

SUSPECT ITEMS

  • If you discover a suspect package do not touch or move it.
  • Immediately contact a member of the Security Team.
  • Do not use your mobile phone or radio in the vicinity of the package.
  • Follow the directions of the Security Team and Staff to clear the area calmly if possible and follow the evacuation process used if the threat is confirmed.

SUSPICIOUS PEOPLE / ACTIVITY

  • If you see anyone acting suspiciously in or around the arena please contact the security or production management team.
  • Give them an accurate description of the person/s and what makes them look suspicious to you.
  • You will not be criticised for reporting anything suspicious – if in doubt please report it.

TERRORIST INCIDENT

  • In the event of an attack, it may be necessary to evacuate the arena, however, in some circumstances, it may be safer to remain inside. If an incident does occur think about your personal safety and listen to the radio and P.A system for any instructions.
    • Hide if you can’t run.
    • Find some cover.
    • Be aware of your escape routes and try not to become trapped.
    • If you can lock or barricade yourself in a room and move away from the door.
    • Be very quiet and turn off mobile phones and other devices that could make unexpected noise.
  • CALL 999 when it is safe to do so.
  • If the Police respond to the venue in these circumstances please be prepared for their actions to be robust, this could include you being treated as suspicious until you are cleared.
  • Always apply the RUN, HIDE, TELL guidance.

Health

Health Surveillance

General

  • Only work onsite if approved by management with a contract in place before starting work.
  • All work on site is voluntary, and please refer to management for further support.
  • Only carry out designated work within allocated time scales to minimise time spent onsite where possible.
  • Keep in regular contact with management while working onsite and for additional support.
  • Always follow good personal hygiene practices across all work areas to encourage and help maintain a safe and secure environment at all times.
  • Vaccinations are encouraged to help keep people safe, especially in high-risk categories, and if not vaccinated, encouraged to inform the team to help try to put suitable controls in place.

To make sure people are healthy and fit to work, please follow the following health surveillance guidance:

  • Daily health surveillance checks; only work if the person feels like they are physically and mentally fit and healthy to work.
  • All personnel working on the event are encouraged to carry out a lateral flow test only if they exhibit any COVID-19 symptoms / feel unwell, or think they may have been exposed.
  • Notify management immediately if the test result is positive for further support and follow Government guidance.
  • Everyone briefed before starting work.
