Access to the site is only permitted if you have:

COMPLETED THIS INDUCTION

  • Completion of this induction is mandatory for all event staff requiring access to the event during the build or de-rig.
  • You must read through this induction, fill out and submit the form at the end.

STAFF SIGNING IN AND OUT

  • In the event of an emergency, it is essential that we have a formal record of all Event staff that are on site. Therefore it is critical that you sign in/sign out in the Event Management Office when arriving/leaving the event site (both at the start and finish of your shift and also if you leave the site for any reason).

PERSONAL PROTECTIVE EQUIPMENT (PPE)

  • You must wear PPE appropriate to your schedule of work. If in doubt, please speak to one of the key contacts for the event before commencing work.

APPROPRIATE ACCREDITATION

  • When you arrive on site, you will be provided with your accreditation before you start work.
  • It is absolutely vital to the safety and security of the event that you wear and visibly display your accreditation AT ALL TIMES.
  • Security staff have been instructed not to let anyone into a restricted area without accreditation – There will be no exceptions!
  • Please ensure that you do not allow any person into a restricted area without the correct accreditation.
  • We are all responsible for security on the site; please immediately challenge anyone who is not displaying the correct accreditation.
  • You must not lend your accreditation to anyone under any circumstances.
  • NOTE: If you have not completed and submitted this online safety induction, you WILL NOT be issued with accreditation.

*This excludes non-event staff working in the Athletic Ventures office as part of their normal role

Section 3

Build and Break Safety

Site Rules

EVERYONE MUST:

  • Consider the safety of themselves and those around them at all times;
  • Be aware of moving vehicles and plant;
  • All vehicles or plant moving within the site must be accompanied by a banksman at all times, except when in a clearly defined car park or roadway;
  • Use appropriate PPE and follow instructions;
  • Vehicle and plant drivers/operators must hold a relevant licence or permit for the vehicle/plant;
  • All work at height must be planned and a suitable rescue plan must be in place and signed off by the Event Health & Safety Advisor.

Manual Handling

Don’t lift unless it’s essential;

  • Any Athletic Ventures staff who will be required to carry out any manual handling as part of their role during the event should complete the 10minute Manual Handling Toolbox Talk on UKAs Safety Media E-Learning platform (NB This course has automatically been unlocked for all UKA employees so is readily accessible under MyWork/Training)
  • Use equipment trolleys/buggies where possible;
  • Anything over 25kg will require at least two people to lift.
  • Consider asking a colleague to walk ahead of you, opening doors and checking the route is safe.
  • If in doubt do not lift, seek support or advice.

Event Material and Equipment

In the Event Management Office;

  • Only equipment that will be used is to be stored in the office;
  • Please keep clutter to a minimum and make sure that nothing is left obstructing walkways, doors, Fire Fighting Equipment, and Emergency Exit routes.
  • The pedestrian access walkway must be accessible at all times and items stored should not restrict or impede on this walkway.

PPE required on site

HI VIZ

  • During build and break, a Hi-Viz vest (Orange or Yellow) is to be worn at all times.
  • Compliant with EN ISO 20471

SUITABLE FOOTWEAR

  • Suitable footwear must be worn at all times (no open toed footwear), in accordance with any risk assessment.
  • Protective footwear must be worn when lifting, shifting or rolling equipment.

HARD HAT

  • A hard hat must be worn in areas where overhead work is being carried out.
  • Compliant with BS 397

WORK AT HEIGHT

  • If you are intending to work at height please make sure you wear a full-body harness with either a fall arrest or work restraint lanyard.
    • Prevent a fall in the first instance using a work restraint lanyard.
    • Restrain the fall if not using a fall arrest lanyard.
  • Make sure all work at height is risk assessed and you have had suitable training and a suitable rescue at height plan in place.

PROTECTION

  • Gloves, hearing protection, safety glasses, and dust masks MUST be worn if the activity or risk assessment requires them.

Welfare facilities on site

TOILETS

  • Toilets are located just down the corridor from the Event Management Office in the West Stand.

CATERING

  • Pre-event catering is available on-site at the venue. A green wristband will be issued to those approved to be on-site to access lunch.
  • Event day catering will be available from the WHU Managers suite in the west stand.
  • Collection times for packed lunches will be communicated on site.

First Aid

CONTRACTOR FIRST AIDER

  • Each contractor SHOULD have a designated first aider on-site and carry a suitable first aid kit.

EVENT STAFF AND ATHLETES

  • Medical provision for event staff and athletes will be provided by Elite Medical Services.
  • They can be contacted on the medical group channel (A full listing of Radio Channels will be available in the Event Management Office).

BUILD AND BREAK MEDICAL COVER

  • Medical provision for event staff and contractors will be provided by Elite Medical Services.

ACCIDENT REPORTING

  • In the event of an incident / injury / near miss, the staff member can call Dan Ward via radio, mobile (07544 666286), or event control.

If You Discover a Fire:

DISCOVERING A FIRE

If you discover a fire onsite follow the below procedure:

  • Contact Event Control and/or use the break glass call points immediately to raise the alarm.
  • Do not attempt to fight the fire unless it impedes your escape.

FIREFIGHTING EQUIPMENT (FFE)

  • If possible, and you have been trained to do so, attempt to fight the fire using suitable firefighting equipment ensuring you do not put your own life at risk.

EVACUATION MESSAGE

  • If required Evacuation messages will be broadcast over the Arena PA system.

EVACUATE THE AREA

  • On hearing an evacuation message all staff / contractors present on site should make their way to the nearest assembly point by following the green ‘running man’ symbols and instructions from stadium staff.
  • During event time security staff will assist in the evacuation of all staff and spectators from the stadium to appropriate assembly points.

Section 8

Alcohol and Drugs at Work

ZERO Tolerance

Whilst on-site there is a ZERO tolerance for being under the influence of alcohol or illegal drugs.

If you are suspected of being under the influence of either you will be removed from the site immediately and may face disciplinary action.

Be alert

SUSPECT ITEMS

  • If you discover a suspicious item, then inform venue security or Event Control immediately on the main Event Management channel (A full listing of Radio Channels will be available in the Event Management Office).

SUSPICIOUS PEOPLE / ACTIVITY

  • If you see anyone acting suspiciously in or around the arena, please contact the venue security or Event Control immediately on Radio Channel 2.
  • Give them an accurate description of the person/s and what makes them look suspicious to you.
  • You will not be criticised for reporting anything suspicious – if in doubt, please report it.

TERRORIST INCIDENT

  • In the event of an attack, it may be necessary to evacuate the arena, however, in some circumstances, it may be safer to remain inside. If an incident does occur, think about your personal safety and listen to the radio and P.A system for instructions.
  • If the Police respond to the venue in these circumstances please be prepared for their actions to be robust, this could include you being treated as suspicious until you are cleared. Always apply the RUN, HIDE, TELL guidance.
